PERMIT BOT – The digital permits revolution: This is how the Environmental Services Company streamlined its entry permit system using multi-channel communication, a smart AI bot, and the SysAid system!

We had the privilege of visiting the impressive plant of the Environmental Services Company (ESC) in Neot Hovav in the Negev and witnessing firsthand the significant transformation brought by an advanced digital system to the truck drivers’ entry process.

The system is called PERMIT BOT, an innovative technological solution developed by Consist, combining the Glassix system with its intelligent bot and the SysAid service management system. This solution has revolutionized the entry permit process, making it faster, smarter, and more efficient than ever before.

What was the problem?

The Environmental Services Company Ltd. (ESC) is a government-owned company established in 1990 to handle all hazardous waste produced in Israel while ensuring strict protection of the environment. The company provides a wide range of environmental solutions and services to industries, research institutes, laboratories, and businesses.

ESC operates a plant located in an eco-industrial park in Neot Hovav in the Negev, which uses some of the world’s most advanced methods to treat a wide variety of hazardous wastes. Every day, dozens of trucks carrying hazardous materials from factories across the country arrive at the plant.

In the past, the entry process to the site required drivers to fill out manual forms, watch computerized safety training videos, take a test, and wait for approval from the Safety and Security Department — a procedure that caused delays, congestion, and extensive paperwork. The result was slower workflows, driver waiting times, and disruptions to daily operations.

The Solution: A groundbreaking integration of advanced digital technologies from Consist

To streamline the process, the team at the Environmental Services Company — led by Yossi Yogev, Head of the Ecology and Safety Division; Tair Suissa, Safety Inspector; and Dani Hochman, the organization’s CIO — together with the Digital and Products Division team at ConsistMoshe Atiya, VP of the division; Shahar Katzir, Applications Manager; Dan Forman, SysAid Implementer; and Yuval Sheib, Glassix and AI Bot Implementer — developed a groundbreaking solution: an advanced integration of the SysAid system with the Glassix multi-channel communication platform and a bot that automatically and efficiently manages the entire entry permit process.

How the solution works:

  • Before arriving, the truck driver receives a WhatsApp message with a link to the Glassix bot system.
  • The Glassix bot guides the driver — who can choose their preferred language from three options — asks all relevant questions, and requests the upload of various documents and permits required for the type of cargo.
  • Next, the Glassix bot directs the driver to a safety video and instructs them to answer safety questions after viewing it, ensuring the driver understands the procedures.
  • The solution allows training to be delivered to drivers in an automated way, significantly reducing the workload on the Safety Division staff, who previously had to oversee every step manually.
  • Once all steps are completed, the system automatically opens a request in SysAid, which is sent for approval to the relevant authority within the organization.
  • After the request is approved, the driver receives a digital entry permit valid for the plant, including for future visits, according to the relevant settings.
  • When the driver arrives at the plant gate, they present the digital permit on their mobile phone and enter quickly and easily, without delays.
  • If a replacement driver arrives instead of the pre-registered driver, they can simply scan a QR code at the entrance and complete the entire approval process in just a few minutes.

The results speak for themselves

Thanks to the PERMIT BOT system, queues and delays at the plant entrance are a thing of the past. The process, which previously required valuable time, now takes less than a minute. This innovative solution ensures smoother operations, an improved user experience, and dramatic efficiency gains for both the Environmental Services Company and the trucking companies.

The visit to the plant once again demonstrated how Consist’s technology and innovation, combined with the creativity of the teams — from both the Environmental Services Company and Consist — can improve critical organizational processes and drive a real revolution on the ground!
